These Terms and Conditions govern your access to and participation in all virtual conferences, webinars, workshops, scientific meetings, and related services organised by Medex Conferences. By registering for any event or using our website, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions.
Registration
Conference registration is confirmed only after successful receipt of the applicable registration fee.
Participants are responsible for providing accurate, complete, and up-to-date registration information. Medex Conferences reserves the right to refuse or cancel any registration if false, incomplete, or misleading information is provided.
Registration is personal and non-transferable unless approved in writing by the organising committee.
Payment
All registration fees must be paid before the conference.
Payments can be made through the payment methods available on the Medex Conferences website. Participants are responsible for any applicable bank charges, taxes, transaction fees, or currency conversion charges imposed by their financial institution.
Registration will only be confirmed after payment has been successfully processed.
Cancellation & Refund Policy
All cancellation requests must be submitted in writing to the Medex Conferences Organising Committee.
Refunds will be processed according to the following schedule:
Cancellation received 60 days or more before the conference – 80% refund
Cancellation received 30–59 days before the conference – 50% refund
Cancellation received Less than 30 days before the conference – No refund
Administrative charges, payment gateway fees, and applicable bank charges may be deducted from approved refunds.
Refunds will not be issued for:
Failure to attend the conference.
Failure to access the virtual platform due to participant-side technical issues.
Internet connectivity issues.
Time zone misunderstandings.
Incomplete participation.
Late arrival or early departure.
Approved refunds will be processed within a reasonable period.
Registration Transfer
If a registered participant is unable to attend, a substitution request may be submitted.
Registration transfers are subject to approval by Medex Conferences and must be requested at least 7 days before the conference.
No registration transfers will be accepted after the stated deadline.
Conference Programme
Medex Conferences reserves the right to:
Modify the conference programme.
Change speakers, moderators, or session chairs.
Rearrange session timings.
Replace cancelled presentations.
Change the virtual conference platform if necessary.
Amend the conference schedule without prior notice.
Every effort will be made to deliver the published scientific programme; however, unforeseen circumstances may require changes.
Conference Cancellation or Postponement
If Medex Conferences must postpone or cancel an event due to circumstances beyond its reasonable control, including but not limited to natural disasters, government restrictions, technical failures, public health emergencies, or force majeure events, the organising committee reserves the right to:
Reschedule the conference.
Transfer registrations to a future conference.
Provide refunds where applicable.
Medex Conferences shall not be responsible for any indirect or consequential losses arising from such changes.
Virtual Conference Access
All conferences are conducted through officially designated online platforms.
Registered participants will receive access credentials before the conference.
Access credentials are strictly personal and must not be shared.
Unauthorised sharing of conference login details may result in immediate cancellation of access without refund.
Technical Requirements
Participants are responsible for ensuring they have:
A stable internet connection.
A compatible computer, tablet, or mobile device.
An updated web browser.
Working microphone and camera where required.
The necessary software to access the conference platform.
Medex Conferences are not responsible for technical issues caused by participants' equipment, internet connection, or software.
Abstract Submission
All submitted abstracts must represent original work.
Acceptance is based on scientific quality, originality, and relevance to the conference theme.
Acceptance of an abstract does not guarantee publication.
Authors remain solely responsible for the accuracy and originality of their submissions.
Medex Conferences reserves the right to reject or withdraw abstracts that violate ethical or scientific standards.
Presentation Guidelines
Presenters are responsible for preparing and delivering their presentations according to the conference guidelines.
Presentation materials must be submitted within the deadlines communicated by the organising committee.
Failure to present during the scheduled session may result in removal from the conference programme and associated publications.
Certificates
Electronic certificates will be issued to eligible participants following successful participation in the conference.

Requests for corrections must be submitted within fourteen (14) days after the conference.
Recording & Media Consent
Conference sessions may be recorded for educational, promotional, and archival purposes.
By participating in a Medex Conferences event, participants consent to the use of their name, affiliation, presentation title, photographs, screenshots, audio, and video recordings in conference reports, promotional materials, websites, and official social media platforms.
Participants who do not wish to appear in recordings should notify the organising committee before the conference.
Intellectual Property
All copyrights relating to abstracts, presentations, posters, and conference materials remain with their respective authors unless otherwise agreed.
Participants may not reproduce, distribute, record, publish, or commercially use conference materials without prior written permission from the copyright owner and Medex Conferences.
Code of Conduct
Medex Conferences is committed to providing a respectful, professional, inclusive, and harassment-free environment for all participants.
Participants are expected to:
Treat all attendees with respect and professionalism.
Respect speakers, moderators, organisers, sponsors, and exhibitors.
Refrain from abusive, discriminatory, offensive, or disruptive behaviour.
Follow all instructions issued by conference organisers during the event.
Medex Conferences reserves the right to remove any participant whose behaviour is deemed inappropriate or disruptive without refund.
Limitation of Liability
While every effort is made to ensure the successful delivery of each conference, Medex Conferences shall not be liable for any direct, indirect, incidental, consequential, or special damages arising from:
Technical failures.
Internet interruptions.
Software malfunctions.
Equipment failures.
Power outages.
Cybersecurity incidents.
Force majeure events.
The total liability of Medex Conferences shall not exceed the registration fee paid by the participant.
Governing Law
These Terms and Conditions shall be governed and interpreted in accordance with the applicable laws governing Medex Conferences.
Any disputes arising from participation in Medex Conferences events shall be subject to the exclusive jurisdiction of the competent courts.
Amendments
Medex Conferences reserves the right to revise or update these Terms and Conditions at any time without prior notice.
Any changes will become effective immediately upon publication on this page. Continued use of the website or participation in Medex Conferences events constitutes acceptance of the updated Terms and Conditions.
